Terms and conditions:

Experience Language Limited is an independent service provider, acting as a booking agent for various language schools. Experience Language Limited does not own or operate any transport, school or other facility. Since we act only as booking agent for the relevant language schools, we therefore accept no liability whatsoever for any death, personal injury, loss or damage of whatever kind, unless caused by our negligence. All bookings are subject to our terms and conditions as well as those of the language school chosen.

From hereafter the term “Client” will be used to represent the person or organisation who has signed the enrolment form for a language course (if under age a parent or person in loco parentis).

Agreement:

The agreement between the Client and the relevant language school is legally binding as soon as Experience Language Limited sends out its confirmation email or letter, having received and accepted the completed and signed enrolment form together with your deposit or full payment. The Laws of England shall apply to this agreement and it will be subject to the exclusive jurisdiction of the courts of England and Wales.

Requirements:

Insurance: The Client is required to obtain travel insurance for each individual participating in the language course and send a copy of the policy/policies to Experience Language Limited at least 14 days prior to the start of the course. The travel insurance policy must provide suitable cover for civil liability, accident, illness, repatriation, loss and theft of personal belongings. Where the relevant Language School provides sports facilities, such as skiing or surfing, and the Client intends to participate in such activities, the Client’s insurance must be adequate to cover this.

Travel Documents: It is the Client’s responsibility to ensure that the person(s) travelling has (have) all required documentation, have received all recommended vaccinations and have fulfilled all other legal and regulatory requirements, which are conditions for the trip.

Specific requests and information: The Client must inform Experience Language Limited in writing about any specific requests such as, for example, dietary needs) and also details of any other information that the client wishes to be passed to the relevant language school, for example in relation to any allergies. Experience Language will communicate any specific requests and information to the relevant language school. However, Experience Language cannot guarantee that any specific requests will be met, and neither the relevant language school nor Experience Language Limited can have any liability to the Client is such requests are not met. If the Client wishes to obtain a guarantee that specific requests will be met, he should contact the relevant language school direct.

Fitness: It is the Client’s responsibility to ensure that the person(s) travelling are fit to travel and participate in scheduled activities (surfing, skiing, etc) Neither the relevant language school nor Experience Language Limited can have any liability to the Client in the event that the Client’s insurance is inadequate, or the Client does not have the requisite travel documents or is not fit enough to travel or participate in the scheduled activities.

Enrolment and Payment

Enrolment: To secure a booking, a completed enrolment form together with a £150 deposit or the full payment must be sent to Experience Language Limited. This deposit is non-refundable. Any remaining balance must be received by Experience Language Limited eight weeks prior to departure. Where a booking is made less than eight weeks before the start of the course, the full payment must be received at the time of enrolment. In the case of non-payment of the balance by the due date Experience Language Limited reserves the right, on behalf of the relevant language school, to cancel the Client’s booking, and the cancellation charges set out in the section below entitled “Change or Cancellation by Client” may apply. Experience Language Limited also reserves the right to take necessary legal action to recover the balance payable for the Client’s booking. Price increases due to fluctuations in currency may occur at any time prior to full payment being received from the Client, and the Client will be liable to pay any such increases in full.

Payment options: You may choose to pay:

  • By cheque, drawn on a British Bank. Cheques should be made payable to Experience Language Limited.
  • By debit cards, such as switch, delta, solo.
  • By credit cards, such as Visa and Mastercard (subject to a 2% charge)
  • By bank transfer.

General Information:

Bank holiday: Most of the language schools do not operate on Bank Holidays. The price for the week remains the same unless stated otherwise.

Evaluation test: Some language courses begin with an evaluation test on the Monday morning. As a result, some lessons may be missed. Neither the relevant language school nor Experience Language Ltd accept any liability for any missed lessons and no refunds will be given for lessons missed due to evaluation testing.

Behaviour: Students are expected to behave in a polite and respectful manner. If any Client behaves in any way that causes damage, distress, danger or annoyance to others, the relevant language school reserves the right in its absolute discretion to exclude him from the school at any time, and to send him home without escort. The return trip will be at the expense of the student or the student’s family, and neither the relevant language school nor Experience Language Limited will have any liability whatsoever to the Client to give any refund or compensation, or cover any expenses incurred by the Client.

Accuracy: Experience Language Limited takes great care in insuring that all information on our website or marketing material is exact. (Yet we are not liable for any errors)

Change or Cancellation by Client

Change: Clients who wish to change course or dates must notify Experience Language Limited in writing, no later than 28 days prior to the beginning of their course. A minimum administration charge of £30 will normally be made for any amendment or postponement, and the Client will also be responsible for paying any other associated charges imposed by the relevant language school in making the amendment. We may alter or waive the administration charge at our discretion.

Cancellation: Should the Client need to cancel this agreement, he must notify Experience Language Limited. The day notification is received by Experience Language Limited is the day of cancellation. The following cancellation charges will apply:

Cancellations up to 56 days prior to departure Loss of deposit only
Cancellations between 55 and 28 days prior to departure 30% of total cost
Cancellations between 14 and 27 days prior to departure 60% of total cost
Cancellations less than 13 days prior to departure 100% of total cost

Cancellation by the language school

The relevant language school reserves the right to cancel a course if forced to do so by unusual or unforeseeable circumstances beyond the control of the school or Experience Language Limited, the consequences of which neither Experience Language Limited nor the relevant language school could avoid, examples of which are war, civil or political unrest, terrorist activity, , natural or nuclear disaster, fire or adverse weather conditions, or other similar events beyond the control of Experience Language Limited or the relevant language school. The relevant school also reserves the right to cancel a course if the minimum number of bookings needed to operate the course is not met. (All courses are subjected to minimum numbers). In the latter case, we will advise you of the cancellation. If the relevant language school cancels your course we will try to offer an alternative course: If this is not acceptable to you, we will refund all course costs, but neither the relevant language school nor Experience Language Limited will be liable to refund you for any incidental expenses that you may have incurred as a result of your booking, such as visas, vaccinations or flights or for compensation.

Complaints

Should the Client have any complaints about any arrangements whilst on the course he/she should bring them to the attention of the language school immediately in order that a representative from the school can try to rectify the matter. Any further complaints must be put in writing to Experience Language Limited within 30 days of the end of the course.

Under 18

Where a person attending the relevant language school is under 18, a parent or guardian will be required to sign the enrolment form indicating their consent. The parent must also indicate on the form any further requirements, including the time to which the minor may go out in the evening, whether they are permitted to go out unsupervised, and anything else of importance.

Privacy Policy

For purposes of providing our services, we expect to ask you to provide certain details about your organization and/or the individuals participating in the course and we may obtain likeness (photographic) of such individuals. We will use Personal Information you have given us to provide you with the services you have requested. In so doing, however, we may pass Personal Information to other organizations, some of which in other countries where you may not benefit of the same level of data protection as you have in the United Kingdom. On addition, we may use Personal Information in advertising and promotional material for Experience Language Limited.
